1. About this notice
This notice covers the customer website, sign-in, translation requests, uploaded source documents and translated files. The current service translates supported Arabic documents into English.
This is a review draft. The operating company’s full legal name, contact channel and final processing arrangements must be added before public launch.
2. Information involved
Depending on the selected service, a request may include your email, contact or profile details, English name spellings, uploaded Arabic document and other fields shown in the request form. Documents may contain personal information about you or other people.
Request records also include the selected service, status, review messages, corrections and issued translation. Only send information you are authorised to provide and that the selected service needs.
3. Why information is used
Information is used to sign you in, receive your document, process and review the translation, follow up on missing or unclear details, track the request and make the issued PDF available to you.
The service also needs operational records to manage access, troubleshoot failures and investigate misuse. The final policy must identify the applicable grounds for processing and any required consent arrangements.
4. Access and service providers
Customer request details require sign-in. Staff access is controlled by roles and permissions. Technical services are involved in hosting, document processing, storage and sign-in email delivery.
The final policy must identify the relevant providers, processing locations, international transfers and contractual safeguards. This draft does not make a promise that documents stay in a particular country or are never processed by a third party.
6. Keeping and deleting information
The final retention schedule for source files, translations, request records, access logs and backups is still subject to business and operational review. This draft does not promise a fixed deletion period or immediate deletion from backups.
Before launch, the service must explain how long each category is kept and how customers can make a deletion or retention enquiry.
7. Public document verification
A person with an issued document’s verification code or QR link can check whether its issued version is current. This is separate from the signed-in page that contains your requests and downloadable files.
Treat your sign-in link as private. Share a document or its verification code only with people who need it. Public verification is not a guarantee that a receiving authority will accept the translation.
8. Questions and privacy requests
The final notice must provide a working privacy contact and a procedure for questions, access or correction requests, deletion requests and other rights that apply. The official contact will be included in the approved policy.
The business must review and approve this notice, including the relevant rights and complaint channels, before public launch. Updates should be dated and clearly communicated where required.
